Attendance recorded — but are door permissions right? For an office installing or upgrading a system, this question involves two tasks: recording working times and deciding who may pass through each door. A quotation should explain how the proposed system supports both, together with equipment, configuration and the tasks the operator will carry out.

1. Start with the doors and the way you currently manage access

A shared entrance, an internal area and a room with specific requirements need to be considered in terms of users and operating hours. Employees, visitors and system operators perform different tasks. VinaTech Telecom starts by clarifying the number of people and doors, the direction to control, visitor arrangements and who manages the system.

On site, the door frame and leaf, materials, opening direction, lock mounting position, cable route, network and power supply inform equipment selection. For an existing system, share the models and the tasks that are causing difficulty. Each part is assessed for condition and connectivity before considering retention, adjustment or replacement.

2. Select authentication, then distinguish access permissions from attendance rules

Cards, fingerprints and facial recognition are considered according to use, installation conditions and the capabilities of the exact device. Manufacturer documentation and checks under the intended conditions inform assessment of recognition and anti-spoofing. The reader, lock mechanism and mounting accessories are selected together with the actual door.

Access permissions are discussed by person or group, door or area, and supported time windows. When staff move department or leave, the operator needs to perform permission updates or revocation.

Attendance needs its own rules: shifts, breaks, days off, missing records and exception handling. Report samples are discussed with the HR operator to reconcile data with the organisation's attendance calculations. Where HR software or API connections are requested, support and configuration scope are established for the specific system.

3. Consider devices, locks, power and software as one connected plan

Each item relates to the others: power supply to load, transmission to connection method, software to management functions, and locks to installation conditions. The plan should therefore explain connections and configuration work rather than list reader names alone.

A lock's response to loss of power is checked against the exact model and wiring. Backup power is sized for equipment, load and operational requirements; runtime is checked for the configuration. On the inside of the door, the exit route, control position and emergency procedures are considered with site conditions. If coordination with fire-alarm systems is required, scope and checks are clarified with the responsible party.

Discuss where attendance and identification data are stored, which accounts may view them, retention and backup. Operators need to understand their permissions and where to carry out each task.

4. Read the equipment and the work scope in the quotation

To compare options on the same basis, review each group: equipment and exact models; mounting accessories, power and cables; installation quantities; software or licences; permissions, shifts and report configuration; task checks and handover documents.

VinaTech Telecom separates retained items, replacements and work requiring coordination with building management or other parties. Recurring charges if applicable, commercial conditions, warranty terms and support scope are established in the actual quotation or agreement. This provides an investment basis drawn from installation scope and intended use rather than the price of a reader alone.

5. Check the tasks the operator will use

Checks follow the agreed people, doors and time windows, including permitted and denied cases. Records are reconciled with attendance rules and report samples. Door states, power and coordinated items are checked within the agreed installation scope.

At handover, the operator practises adding users, changing or revoking access, and viewing and exporting supported reports. Equipment lists, connection diagrams, configuration information to retain, operating guidance and check records accompany the handover documents under the agreement.

Installing or upgrading office attendance and access control? Send photos of both sides of the doors, the number of doors and users, existing devices, current attendance practices and what you want to change. These details provide a starting point for discussing the site survey and proposal scope with VinaTech Telecom.
